Your Business, But Less Chaotic: 3 Systems That Save Me Every Week

Running a business is hard enough without trying to reinvent the wheel every day. That’s why I rely on a few simple systems that keep my week moving forward—even when things get crazy.
Today I’m sharing the 3 behind-the-scenes systems I use that save me time, reduce stress, and help me show up consistently for clients and myself. (Keep reading for a free downloadable that will help your business!)
SYSTEM 1: A Repeatable Client Onboarding Process
Why it matters: First impressions matter. A clear, repeatable process makes you look professional, saves hours of back-and-forth, and builds trust from day one.
What mine includes:
A pre-written welcome email with next steps
A service agreement + invoice
A shared client folder or portal
A short "What to Expect" PDF or checklist
A kickoff call link or intake form
How to create your own:
Write your onboarding steps down (even messy!)
Turn them into a checklist or template
Automate where possible (email sequences, invoice reminders, etc.)
Pro tip: Save everything in a folder labeled “Onboarding Kit” for easy access.
SYSTEM 2: A Content Planning System
Why it matters: Consistency builds trust, visibility, and traffic—especially online. But showing up regularly doesn’t mean you need to post daily or burn out.
What I do:
Set aside one hour a week to plan upcoming posts
Use a simple spreadsheet, Trello board, or Canva content planner
Plan content around 4 pillars:
Educate (tips, how-tos)
Engage (polls, questions)
Explain (services, testimonials)
Entertain (fun holidays, memes, behind-the-scenes)
How to start:
Decide how often you want to post (even 2x a week is great!)
Use a calendar to plan around events, offers, or holidays
Batch-create content when you’re feeling inspired
Pro tip: Reuse your top-performing posts every 2–3 months with a refresh.
SYSTEM 3: The Weekly CEO Check-In
Why it matters: You’re the boss—but if you’re always in “doing” mode, it’s easy to lose sight of the big picture. This system keeps your goals and your growth front and center.
My weekly routine:
Review what got done last week
Look at my income + expenses
Check in on client projects + deadlines
Plan the next week with intention (appointments, goals, content)
I use a simple template that includes: Top priorities Money in/money out Wins + lessons Weekly goals “Let go of” list (because mindset matters too!)
Pro tip: Block 30–60 minutes on Friday or Monday and treat it like a non-negotiable meeting—with yourself.
